The Big Picture
The Restaurant Systems Specialist is the hands-on systems expert responsible for the configuration, accuracy, and day-to-day health of the technology that powers our restaurants. Primarily focused on Toast POS and the Crunchtime operations management suite, this role sits at the intersection of Operations, Culinary, Supply Chain, Finance, e-commerce, Marketing, and IT.
You’ll ensure our restaurants have the right menus, pricing, products, recipes, inventory data, and system configurations in place to operate successfully every day. You’ll also serve as the systems owner for new product and limited-time offer (LTO) launches, helping translate product concepts into accurate, fully tested system builds across POS, inventory, digital menu boards, online ordering, and other connected platforms.
This is a highly detail-oriented role where your work directly impacts restaurant operations, food cost, profitability, and the guest experience. Success means our locations can open each day with confidence—knowing their menus are accurate, their systems are working, their inventory counts are reliable, and their data can be trusted.
Location: This position will work onsite out of our Corporate Office in Sandy Springs, GA Monday – Friday.
What that looks like day to day:
- Own the configuration and maintenance of Toast POS menus across locations, including menus, items, modifiers, pricing, taxes, kitchen routing, discounts, and location-specific settings.
- Manage menu changes, price updates, seasonal resets, promotions, and LTOs across POS, KDS, online ordering, branded apps, catering, and third-party delivery platforms.
- Serve as the systems owner for new product and LTO launches, building and testing new items in both Toast and Crunchtime to ensure they are sellable, routable, costed, and properly depleting inventory at launch.
- Maintain the Crunchtime item and recipe master, including vendor items, recipes, yields, unit-of-measure conversions, order guides, PAR levels, and food-cost data.
- Partner with Marketing to maintain accurate pricing, product information, promotional content, layouts, and regulatory information across in-restaurant digital menu boards.
- Administer system users, roles, permissions, location data, and configuration standards across Toast and Crunchtime while maintaining accurate documentation and change logs.
- Monitor integrations and data flow between POS, inventory, accounting, payroll, and other connected systems; investigate discrepancies and resolve root causes.
- Support food-cost and inventory management by analyzing Actual vs. Theoretical (AvT) food cost, inventory variances, waste, transfers, and other operational data.
- Support new restaurant openings, conversions, remodels, and enterprise rollouts through system configuration, testing, cutover, and day-one support.
- Partner cross-functionally with Operations, Culinary, Finance, Supply Chain, e-commerce, Marketing, IT, and external technology vendors to troubleshoot issues, improve processes, and ensure system changes are delivered accurately and on schedule.
What You Bring (Experience, Knowledge & Skills):
- 3+ years of hands-on restaurant systems administration or configuration experience in a multi-unit restaurant, QSR, fast-casual, or foodservice environment.
- Production experience with Toast POS, including menu builds, modifier logic, pricing, multi-location management, and menu versioning.
- Production experience with Crunchtime or a comparable restaurant operations and food-cost management platform, including item master, recipes, ordering, inventory counts, and Actual vs. Theoretical reporting.
- Strong understanding of restaurant cost-control fundamentals, including COGS, theoretical vs. actual usage, yields, unit-of-measure conversions, PAR levels, waste, transfers, and plate cost.
- Advanced Excel skills, including pivot tables, lookups, large data sets, and CSV-based bulk data loads.
- Experience supporting new product, LTO, promotional, or menu launches across multiple locations, including digital menu boards or comparable digital signage systems.
