Full description

Primary Function

The Team Lead, Salesforce Systems Analyst leads a team of systems analysts who analyze University business processes and translate them into well-designed, secure, and supportable solutions on the Salesforce platform and the enterprise systems connected to it. The position is accountable for the full analysis lifecycle: requirements elicitation, current- and future-state process analysis, solution design, functional and technical specifications, testing, and user adoption, so that every system change is driven by documented business need and measurable outcomes.

The Team Lead serves as the primary liaison between the Enterprise Applications Department and functional departments (for example, Admissions and Enrollment, Student Services, Academic Affairs, Marketing, and Financial Aid), and coordinates with development, integration, and infrastructure teams on changes that span Salesforce, its integrations, and other enterprise applications.

The Team Lead coaches and develops the analyst team, establishes analysis and documentation standards, and ensures that system changes comply with university technical guidelines, security and data-privacy requirements (including FERPA), and change-management processes. The incumbent becomes an integrated enterprise application expert who understands how the systems support University operations and strategy.

Essential Functions

System Analysis and Design

  • Leads requirements elicitation with functional stakeholders through interviews, workshops, and observation; documents business requirements, user stories, and acceptance criteria.
  • Documents current-state and future-state business processes (process maps, swimlane diagrams) and identifies gaps, inefficiencies, and automation opportunities.
  • Performs fit-gap analysis to determine whether a need is best met through standard Salesforce functionality, declarative configuration, custom development, integration, or a process change; presents options and trade-offs to stakeholders and leadership.
  • Reviews, mentors, and creates functional and technical specifications, including data models, object and field definitions, business rules, security requirements, and integration data mappings used by development and integration teams.
  • Performs impact analysis on proposed changes (downstream automation, integrations, reports, security, and data) before they are approved for build.
  • Coordinates multi-team activities to define specifications for system integrations, including source-to-target mappings, system of record, sync frequency, and error handling, along with resource requirements and implementation timelines.
  • Research, analyzes, designs, and documents security setup, including profiles, permission sets and permission set groups, role hierarchy, sharing rules, and field-level security; account provisioning and de-provisioning; and periodic access reviews. Ensures access to student records meets FERPA and University data-governance policy.
  • Facilitates and leads the rapid resolution of simple to complex production issues, including root-cause analysis, investigation of anomalies, communication with all levels of management, and documentation of fixes and preventive actions.
  • Compiles data, builds reports and dashboards, and performs data analysis (including SQL where appropriate) to support business operations, measure solution outcomes, and identify data-quality issues.
  • Identifies opportunities to improve the efficiency of business processes and leads efforts to integrate system capabilities and workflow.

Team Leadership and Delivery

  • Works with the Director and VP to establish Systems Analyst team standards, processes (work intake, requirements templates, definition of ready and done), best practices, and success criteria.
  • Manages analyst workload: intake, backlog prioritization with stakeholders, estimation, and assignment; ensures projects are completed on time and within budget and remain aligned with strategic outcomes.
  • Coaches, mentors, and develop systems analysts; sets goals, conducts performance reviews, and recommends training and certification paths.
  • Reviews analyst deliverables (requirements, specifications, test plans, documentation) for quality, completeness, and consistency.
  • Promotes continuous improvement, flexibility, and problem solving within the team, and provides oversight and expertise, with the Director, to ensure successful customer outcomes.

Application Setup, Configuration, Testing and Release

  • Leads declarative configuration, including objects, fields, page layouts and Lightning pages, validation rules, Flows, approval processes, reports, and dashboards.
  • Designs, configures, tests, and implement new system solutions to meet the needs of the organization.
  • Establishes and follows change-management and release practices, including sandbox strategy, deployment coordination with developers, release notes, and rollback planning; reviews Salesforce's seasonal release notes for impact to the University's org.
  • Plans and manages testing: test plans and test cases, system and regression testing, and user acceptance testing (UAT) with functional stakeholders; obtains business sign-off before production deployment.
  • Oversee data management activities, including data imports and migrations, duplicate management, and data-quality rules and monitoring.
  • Evaluates Salesforce AI and Agent force capabilities against university use cases and analyzes the data, security, and governance implications before adoption.
  • Establishes the communication process and provides technical advice to business users on the effective use of applications, including when assessing new software, initiatives, or enhancements to existing systems.
  • Sets the example and processes for working with third-party vendors, AppExchange providers, and implementation partners in support of enterprise systems and integrations.
  • Thoroughly understands, teaches, documents, and communicates the linkages between business processes and system functionality; develops training materials, user guides, and procedure and system documentation.

Miscellaneous

  • Participates in weekly meetings with the team to discuss progress and issues to be resolved.
  • Keeps appraised of developments affecting the area of expertise, including Salesforce platform releases.
  • Investigate new opportunities in technology, tools, and process improvement and make recommendations to leadership.
  • Participate in product and solution training to maintain a detailed level of product knowledge.
